Studio Policy
1. DEFINITION
“Student” refers to the individual participating in the lessons. If the Student is under the
age of 18, this Agreement shall be signed by the parent and/or legal guardian on behalf of the Student.
2. TERM
This Agreement is for the academic year and will commence on the date stated at the time of signing until June 30, 2026. In the event the Student would like to continue Lessons during the summer months, an addendum may be supplemented, and the terms herein shall apply.
3. THE COMPANY’S RESPONSIBILITY
The Fox Den Learning will teach students the language of music in a positive and enthusiastic environment. It is my goal to empower each student to influence their music education with input based on their interest and long-term goals. We will tailor the curriculum to match each student's specific learning needs.
4. STUDENT & FAMILY RESPONSIBILITIES
Students agree to arrive at each lesson punctually, well-prepared, and with their assignment books, music, and instruments. To make good progress, daily quality practice is necessary.
It is encouraged that students and parents inquire about assignments if details are unclear or insufficient.
Parents: If something is happening at home or school that is affecting your child, please let me or your teacher know. The more information we have, the more we can be sensitive to your child's needs.
All students are encouraged to play at the studio recitals and take auditions for local ensembles and competitions. If an opportunity arises, please bring information to the next lesson so that we can help the student prepare.
Students must have their own instruments to practice at home. If you have questions or would like input on the purchase of an instrument, please let us know. We are happy to set appointments to meet the student and their family for instrument trials and make specific recommendations.
5. TUITION AND SCHEDULE
*Please note that tuition reserves the weekly time slot but may not directly correlate with lessons received if the student does not attend the scheduled lesson times.
Flat monthly tuition rates are based on the number of guaranteed lessons in the calendar year. There will be a minimum of 36 lessons offered throughout the year. The weeks where lessons are not held (due to holidays or personal performance opportunities) will be communicated in advance.
All payments are non-refundable. After the first payment, invoicing and payment will run automatically on the same day. Tuition will be drawn on the 1st of each month from the method on file. All automatic payments will be run through My Music Staff & Stripe.
If a payment is returned or declined, a 48-hour window will be provided to adjust the payment method and resubmit the payment. Any payments not received by the 8th of the month will receive a $25 late fee. Recurring late payments may result in the termination of the student’s enrollment.
To cancel tuition, written notification must be received via email 30 days in advance. If notice is not received by that deadline, the full tuition amount will be charged automatically on the first of the month, and students have the option to attend all paid lessons that month. Lessons will then be cancelled for the following month.
6. CANCELLATION POLICY
All student schedule requests should be sent to hello@thefoxdenlearning.com. Please CC your instructor on the email.
Lessons cancelled with less than 24 hours' notice will not be provided with a makeup lesson. Lessons cancelled with 24 hours' notice will be credited as a makeup lesson for that month. Makeup lessons do not count as credit for the next month’s tuition.
With notice, up to 2 makeup lessons can be provided each term (September-January; February-June), subject to availability. If availability does not match, a video exchange lesson will be available instead.
Makeup lessons may be held online (Zoom or FaceTime), in-person, or via video exchange, depending on your teacher’s schedule and availability.
Makeup lessons cannot be rescheduled for any reason.
Lessons cancelled by instructors will be given as much notice as possible. Teacher cancellations outside of the guaranteed 36 annual lessons will be rescheduled within 30 days.
Tuition is based on the number of lessons the studio schedules and will not be altered. Planned vacations or other conflicts communicated in advance receive a makeup lesson credit for that month (up to two).
7. VIRTUAL LESSONS
Lessons may be held online virtually in the case of mild teacher illness, severe weather, or other conflicts. When virtual lessons are offered, in-person makeup lessons will not be offered. If the student opts out of the virtual lesson, that lesson and tuition will be forfeited. Tuition is non-refundable. Any other conflicts communicated in advance will receive a makeup lesson credit for that month (up to two makeup credits per term).
8. MUSIC & MATERIALS
Each student is responsible for purchasing the required music and materials for lessons. Materials will be assigned by their teacher, and the student will be expected to have the materials within two weeks of assignment. Advanced notice will be provided whenever possible.
Music Students will have additional access to their instructor via the Tonara App.
9. COMMITMENT
Students reserve their place in the studio for the entire term when they enroll. Changes to weekly schedules may be made on a case-by-case basis each month before tuition is due.
If the student chooses to pause lessons during a semester, a 30-day notice is required, or payment in lieu of the notice will be charged. Changes to this policy are considered on a case-by-case basis.
Fall Term - September through December
Winter Term - January through March
Spring Term - April through June
10. MEDIA RELEASE
From time to time, I use photos and short videos of my students in their lessons, on the studio website, or in social media posts. These videos and posts are encouraging to other students and helpful to other teachers. Please let me know if you do not want your child's image(s) to be used. The students are identified only by their first name.
